When you use the sourcing form or contact Benidors, we may receive your name, company name, email address, telephone number, destination country, truck requirements, budget and any additional information you choose to provide. Form submissions are transmitted through a technical service provider, FormSubmit (formsubmit.co), which forwards them to Benidors' email address on our behalf. FormSubmit acts solely as a processor for this transmission and does not use this data for its own purposes.
3. Why we use the information
We use personal information to assess and respond to sourcing requests, communicate with prospective or existing professional customers, source suitable vehicles, coordinate requested services, administer Quotations and Invoices, comply with applicable legal and compliance obligations, and protect our business and systems.
4. Legal bases
Depending on the processing activity, Benidors may rely on the need to take steps at the request of the data subject before entering into a contract, performance of a contract, compliance with a legal obligation, legitimate interests, or consent where consent is required.
5. Sharing and recipients
Where necessary to respond to a sourcing request or perform a Mission, information may be shared with relevant vehicle Suppliers, external transport or inspection service providers, export or customs service providers, professional advisers, financial institutions, IT, hosting and form-transmission providers (including FormSubmit) and public authorities where legally required.
6. International transfers
Where personal data is transferred outside the European Economic Area, Benidors will use an appropriate transfer mechanism where required by applicable data-protection law.

Personal data is retained only for as long as necessary for the purpose for which it was collected, including applicable contractual, accounting, tax, compliance and legal obligations. Different categories of records may therefore be retained for different periods.
